Details of how to manage your registered user database.

Register a user

  • Login as an administrator.
  • Go to the admin area - Click the link in the header or footer for Admin, or Administration, or add /admin to the end of your website URL in your web browser's address bar.
  • Click User management in left hand havigation. This will open up a sub menu.

  • Click Users. This will show a list of people registered on your site.
  • Click theAdd User tab. This will give you a form to add a user. Ideally, you would want a client to register themselves on your website so that they can choose their own password. However, there may be circumstances where you will need to register a user on their behalf.

  • Fill in the form:
    • Please note: Users' email addresses and usernames must be unique.
    • Leave status as Active.
    • Select Notify user of new account if you want an email to be sent to the user notifying them of their site registration and user details.
    • Check the box to accept Terms and Conditions.
    • Click Next to add further details including telephone number (these details are optional but can be helpful if you wish to search for a user with specific details at a later date).
    • Or click Create new account to addan account with just the basic user information.
    • A green information bar will appear at the top of the page with one of the following messages:
      • "Password and further instructions have been e-mailed to the new user [Username]." (If you checked the box 'Notify user of new account').
      • Or "Created a new user account for [Username]. No e-mail has been sent.'" (If you did not checked the box 'Notify user of new account').

User imports / Bulkloading

You can register individual people in the admin area of your site yourself.

If you have a list of users that need to be registered, we can bulkload the users for you. Please send an Excel spreadsheet to support@practiceweb.co.uk with columns for:

  • firstname
  • lastname
  • email address

There is a charge of £44.50 +VAT per spreadsheet.

Please note:

  • You must supply the firstname, lastname and email address for every registration
  • The username is generated from the firstname and lastname
  • You must comply with the Data Protection Act. We advise that you only register pepole who are clients or who have given permission for their details to be registered on your site.

Unsubscribe a user

  • Go to User management in left hand navigation.
  • Select Users in the sub menu. This will show all users registered on your site.
  • In Update options select unsubscribe from the dropdown.

  • Select the user account/accounts you would like to unsubscribe by checking the relevant boxes.
  • Click Update.
  • An email will be sent to the user saying that their mail settings have been changed and they are unsubscribed.
  • NOTE: When a user is unsubscribed, their account will still exist but they will not receive mail from the site.

Bounced users

A status of "bounced" means that the system has tried to send a particular person an email three times. If on the third attempt it still can't reach them, it sets their status as "bounced" which means it won't attempt to email them again.

It might be bouncing for several reasons:

- The email address is invalid or doesn't exist
- The user's inbox is full
- The user's email is temporarily down (although the three attempts are normally the weekly business updates and therefore it is unlikely to be temporarily down over a period of weeks)

You can filter on bounced users by going to the "All Users" screen and selecting the "bounced" checkbox. You could then amend any which are obviously incorrect e.g. joe@bloggs@example.com (two @ symbols), unblock them and allow the system to send them emails again, delete them or ignore them.

To unblock them:

- Click the checkbox for the bounced users you wish to unblock
- Choose Unblock bounced email from the dropdown list above
- Click execute

If you notice the user marked as bounced again after a period of time, then there is probably something wrong with the address or the recipient's mailbox.

Permanently delete a user

Go to User management in left hand navigation.

  • Select Users in the sub menu. This will show all users registered on your site.
  • In Update options select Delete the selected users from the dropdown.

  • Select the user account/accounts you would like to delete.
  • Click Update. You will be given the username(s) of the people that you have selected to delete.
  • Confirm you want to proceed by clicking the Delete all button or Cancel to cancel the operation.
  • A green information bar will appear confirming the users have been deleted.

Filter Users

To find users that match a certain criteria eg users subscribed to a newswire, admin users, users with bounced email, please with a certain name or email address contains a certain string eg @practiceweb.co.uk etc:

  • go to User management in the Admin Menu. The menu will expand to reveal a sub-menu.
  • In the sub-menu, click on All users. You will see a list of all users registered on your site.
  • In the area for Filter Users, you will see fields to complete and checkboxes that you can check to filter your user database.
    • If you cannot see the checkboxes, the filter may be collapsed. Just click on the Filter users link to expand the menu.
    • The result will only show users that match ALL the criteria
  • Enter data into the fields or check the relevant boxes and click apply to filter your user database.

 

Export csv files of Users

Once you have filtered your users, you can export a csv file of the results.

  • Scroll down to the bottom of the page and you will see a a count of users matching the filter criteria and a button for CSV.
  • Click the CSV button to Export a csv file of filtered users.
